Why I chose n8n over Zapier for all client automations
Self-hosted, unlimited workflows, and full control of client data. Here's the breakdown.
Zapier is the default answer for automation, and for a lot of people it's the right one. But for an agency running automations on behalf of Kenyan businesses, I run everything on self-hosted n8n instead. Here's the honest reasoning.
1. Cost that doesn't punish success
Zapier bills per task. The moment a client's automation actually gets used — hundreds of orders, thousands of messages — the bill climbs with it, and that cost lands on the client. Our n8n runs on a Truehost KVM server for a flat KES 1,999/month with unlimited workflows and executions. One predictable line item covers every client we put on it.
2. Client data stays under our control
When you automate with a hosted SaaS tool, your client's customer data flows through someone else's servers in someone else's jurisdiction. Self-hosting means the data path is ours end to end — which matters when you're handling M-Pesa transactions and customer details for a Kenyan business.
- ✦M-Pesa payment confirmations wired directly into the workflow.
- ✦WhatsApp notifications without per-message SaaS markup.
- ✦CRM and Google Sheet sync with no row limits.
3. The honest trade-off
n8n isn't free in the way Zapier is easy. You own the server, the updates, and the uptime. For a non-technical business owner, that's a real cost — which is exactly why it belongs with an agency that runs it for you. You get Zapier's convenience without Zapier's bill or its data exposure, because we carry the operational weight.
Self-hosted, unlimited workflows, full control of the data path. That's the whole pitch.
If you're running repetitive manual work that's eating your team's hours, that's the exact problem this solves. Start with an Audit and we'll tell you honestly whether automation is even the right move.
